How to export applicants from ADP Workforce Now to a spreadsheet
ADP Workforce Now's Recruitment module does not have an export button on a requisition's candidate list, or at least ADP documents none. What it documents is a set of Standard Reports for recruitment, and the one with applicant contact details is the Applicant Summary. It runs to Excel, and from Excel it is a short step to a CSV.
Steps
- As an HR practitioner, go to Reports & Analytics, then Standard Reports, then Recruitment. (Managers have Reports & Analytics, My Team Reports, Recruitment instead, but the Applicant Summary is not in the manager set; see below.)
- Open Applicant Summary.
- In Who Appears on This Report, narrow it to the requisition you are screening if the filter is offered on your account. In What's Displayed on the Report, make sure name, email, the phone fields and application date are included.
- Click Run As Excel. ADP notes that the Run As Excel and Run As PDF buttons vary by report; if only PDF is offered, try the Application Status History report, which also lists applicants.
- Open the Excel file. The Applicant Summary is formatted as a summary rather than a flat table, so you may need to delete title rows and blank rows until there is one header row followed by one row per applicant. Then save as CSV.
Who can run it: the Applicant Summary appears in the practitioner (HR) menu only. Managers see Application Questions and Answers, Application Status History, Cost to Hire and Time to Hire. If you are a hiring manager, ask HR to run the Applicant Summary for your requisition. ADP also notes that the reports available vary with company setup, so names may differ slightly on your account.
What the report contains
In ADP's own sample, each applicant carries Name, Application Date, Last Status Change Date, Requisition, Application Status, Address, Home Phone, Personal Cell, Email and Desired Salary. The exact Excel column headers are not published, so check the header row after you flatten the file.
What it does not include
Résumés and attachments. The ADP Marketplace connectors for JazzHR, Workable and Greenhouse push data into ADP, not out of it, so they are no help here either.
Then
Upload the CSV to ApplySift. If there are two phone columns, ApplySift will show the headers and ask which to use; pick Personal Cell. If your file has a different shape from the one described here, email a copy of the header row (just the first line, no applicant data) to hello@applysift.com and the recognizer will be taught it.
