How to export applicants from iCIMS to CSV

In iCIMS everything is a search, and any search result can be exported. To get one job's applicants you run a Recruiting Workflow search filtered to the job, choose the columns you want in the output, and export. Ungrouped results can go out as CSV; grouped ones only as Excel.

Steps

  1. Open Search and choose Recruiting Workflow. Set the criteria to the job you are screening, and to the statuses you want (for fraud screening, usually everyone who applied, including those already rejected). If your team has a saved search template for this, open that instead.
  2. Set the output columns. In the Output Template drop-down choose – None –, then use Add Column to add the candidate's name, email, phone and the application date. The applied date lives under Reporting & Advanced Options, General, as Application Date.
  3. Run the search. Select the rows to export: open the Select drop-down and pick All on Page (or the option for all results), or tick individual rows.
  4. Click More, then Export. On a wide screen, or if you have fewer actions available, the Export button sits directly above the results instead of inside More.
  5. Choose CSV as the format and click Export. The file downloads to your computer.

Who can run it: export is a user-group permission. Recruiters usually have it; hiring managers often do not. If the Export action is missing, ask your iCIMS administrator either for the permission or for the file.

The grouping trap

If the search output is grouped (by job, by status, by anything), the export dialog offers Export All Levels or Export 1 Level Only and the file is Excel only, with group header rows mixed in. Remove the grouping first and the CSV option returns, with one clean row per applicant.

What the export does not include

Résumés and attachments; only the columns in the output. Column labels depend on your output configuration, so your file's headers may differ from another company's. ApplySift reads the headers and asks you to confirm when it cannot tell which is which.

Upload the CSV to ApplySift. If you are willing, email the header row (the first line only, no applicant data) to hello@applysift.com so iCIMS exports are recognised automatically for the next person.
